  • Responsible for a range of assigned administrative tasks and duties including: Recording of all file/document movements in the archives register
  • Receiving files off-loaded at the archives counter and replace these files in the allocated cabinets
  • Checking the diary daily to establish which documents/files have been reserved for that day
  • Locating the relevant document/file/fax and ensure that it reached the requester through the internal messenger service
  • Locating all files not in the archives through physical visits to various offices in the building and satellite offices
  • Diarizing all correspondence which is on call-back, retrieving the files on the diarized date and flagging all diarized correspondence/letters
  • Recording and providing information from files as requested and in line with set procedures
  • Opening and closing volumes in the filing system when required and in line with set procedures/Archives prescriptions
  • Replacing damaged file pockets with new ones
  • Receiving all mail items from the Messenger daily, e.g
  • Business registrations, transfer documents, notices for outstanding debts, cheque payments, complaints, etc
  • Sorting the mail in line with set procedures, distinguishing between official and private mail
  • Allocating notice numbers according to the Notice Number Register
  • Operating the franking machine for all outgoing mail
  • Receiving and responding to a wide variety of enquiries and queries (over the counter and telephonic) regarding the archives and documents/files stored in the archives.
