Manage Guidelines for Recruitment and Selection
• Identify the need for the position - Assist and coordinate demand planning in conjunction with the HRBP’s and their clusters for review by the Recruitment Manager.
• Advertising - Ensure that internal and external advertisements are placed in accordance with the policy guidelines and legislation.
• Screening, Long listing, Short listing - Ensure that there is a fair selection process
• Employment checks – Ensure that vetting is done on the candidate before appointment.
• Interviews - Discuss and finalise short list for interviews with Line Manager taking into consideration the minimum requirements as listed in the job description. Do all the logistical arrangements.
• Reference checks - Conduct reference checks prior to interviews and attached results to application form.
• Appointment - Prepare recommendation report or request to offer for the successful candidate to be appointed. Ensure all pre-employment documents are completed in full and received by the responsible parties. Ensure that unsuccessful candidates are regretted.
• Onboarding - Assist and ensure all new employees receive complete sign on documents and assistance to complete such documents.

• Absalom Management (Smart HR) - Update and maintain the Human Resource Information System in collaboration with the Payroll Officers; Assist with accurate information for reporting; Ensure that new appointments and transfers are captured correctly on Absalom; Double check the appointments and transfers done by the HR Administrators on the system to ensure that everything was done correctly.
• Routine Administrative Function - Ensure that the filing cabinets are in order; Ensure that employee files are closed when employees resign or services are terminated; Ensure that all appointment forms (Pension Fund, Group Life, Medical Aid, Social Security, Tax, etc) are completed and forwarded to payroll on time; Ensure that attendance register sheets are scrutinized on a monthly basis; Provide input to HR Policies related to Shared Services.
