1.Monitor timeous and accurate planning of customers’ orders for delivery and ensure order fulfillment.

· Ensure that customer orders deliveries are optimized to achieve targets in line with best route planning.

· Ensure that deliveries are done as per agreed day/timeslots by continuously reviewing the planned routes.

· Analyze distribution routes and adjust optimize delivery schedules and minimize costs.

· Supervise & coordinate the picking, packing, and shipping of customer orders to ensure accurate and on-time delivery.

· Implement and enforce quality control measures to guarantee product integrity.

· Implement and enforce quality control standards to ensure that products are handled and shipped in accordance with company policies and industry regulations, both during the loading process and in trade.

· Ensure orders are processed accurately and on time.

· Provide first line of support and aid the communication.

2. Planning and managing of Distribution operations

· Continuously review and create reports to measure and optimize efficiencies of the distribution function.

· Ensure that work is planned and assigned to the distribution team as per daily operational requirements.

· Plan and manage delivery cycles, delivery crew/route schedule in conjunction with the Route Planner

· Set up daily distribution KPI reports to evaluate operational efficiencies.

· Set efficiency and other operational targets and drive the implementation and success thereof.

· Develop and implement distribution plans to meet customer demands while minimizing costs.

3. Provide Customer service

· Ensure that a delivery analysis on customer outlets/receiving areas is done to achieve OTIF deliveries and customer satisfaction.

· Build and maintain sound customer relationships through regular customer outlet visits.

· Create amazing experiences for both internal and external customers to create sustainable relationships.

· Collaborate with customer service teams to address customer inquiries, resolve issues, prioritize, and fulfill customer orders, ensuring on-time deliveries and ensure a high level of customer satisfaction.

4. Manage Central Distribution Vehicles/Fleet

· Review daily planned route reports to ensure cost effective vehicle utilization.

· Oversee vehicle inspection reports and coordinate with the Distribution controller & Route planner for maintenance and services.

· Do accident reporting, investigations, and administration.

· Administer and manage fuel usage (Fuel Master) and record on KPI report.

· Ensure that proper driver debriefings are executed by the Route planner by means of regularly reviewing debriefing and provide reports.

· Coordinate with the maintenance team to ensure that distribution truck equipment and vehicles are properly maintained and serviced.

· Identify cost-saving opportunities and implement cost-control measures without compromising on quality of work

5. Adherence to Health & Safety and Quality Assurance

· Develop and present Daily SHEQ reports to the DC manager.

· Responsible for overall health and safety in operations

· Certificates validity (Fire, First Aid etc.)

· Ensure that all operational activities meet quality standards and comply with company policies and regulations.

· Implement quality control measures to maintain the highest standards of product quality during the distribution process.

· Ensure compliance to health and safety standards by the team e.g., wearing of PPE, safe working environment and housekeeping on the trucks, etc.

· Promote and enforce workplace safety protocols and compliance with relevant regulations.

· Investigate and report any safety incidents or violations, taking corrective actions as needed.

· Ensure that all distribution operations adhere to safety guidelines and regulations, and actively promote a culture of safety within the team.

6. Lead, coach and develop staff

· Lead, motivate, and manage a team of distribution associates, including assigning tasks, providing training, and conducting performance evaluations.

· Supervise and lead a team of operational staff, providing guidance, coaching, and support.

· Foster a positive and collaborative work environment that encourages teamwork and employee development.

· Facilitate effective counseling and discipline of staff.

· Provide relevant on the job training and transfer of knowledge.

· Identify opportunities for distribution systems improvement and efficiency gains across the national depots.

· Work closely with depot managers to implement process enhancements and system automation solutions.

· Collaborate with depots distribution teams to understand their technology needs and provide support and guidance.

· Identify and resolve technical issues, providing timely and effective system solutions to ensure minimal disruption to business operations.

· Continuously evaluate system performance and propose improvements or upgrades to enhance efficiency.

· Identify opportunities for process improvement and work closely with relevant teams to implement changes.

· Identify opportunities for automation and technology enhancements to streamline operations.

· Continuously assess distribution delivery processes for efficiency and cost-effectiveness.

· Drive systems efficiencies by ensuring that systems and reports are configured to best practices (these include WEBFLEET, FLEETBEACON, PTV, TABLEAU & SCANIA SYSTEM)

11. System Maintenance

· Monitor and maintain the integrity and functionality of the distribution systems (these include WEBFLEET, FLEETBEACON, PTV, TABLEAU & SCANIA SYSTEM)

· Perform routine system updates and patches to ensure security and performance.

· Troubleshoot and resolve system issues, collaborating with system owners when necessary.

· Monitor and maintain the company's internal systems to ensure they are running efficiently and securely.

· Perform routine system updates, backups, and troubleshooting to minimize downtime.

· Collaborate with IT teams to resolve technical issues promptly.

· Ensure continuous customers & fleet master data and distribution parameters update on the systems across all depots.

· Ensure continuous housekeeping on of the systems to maintain system integrity.

· Provide training and support to employees on system-related matters, promoting best practices and efficient use of technology.

Operations/Distribution Role on Day-to-Day Basis

· Drive operational efficiencies to ensure early departures and early arrivals of fleet for all national depots.

· Ensure full functionality of distribution systems and processes for all national depots.

· Review operational and distribution systems/processes for all national depots.

· Build/Pull existing reports to determine opportunities for improvement to lower operational costs and drive efficiencies for all national depots.

· Support all depots in terms of fleet management & Utilization, employees and overtime management.

· Pull/Build reports on stock management and products handling both in trade and in the warehouse to minimize the risks of breakages and to improve the processes to ensure low costs for all national depots.

Route Planning, Monitoring and Reporting Role

- Daily execution of entire route planning function:

- Plan, manage and measure an effective and efficient distribution operation

- Ensure that the right NBL products are delivered to the right place/customer on time and in the most cost-efficient way possible

- Tracking kilometers traveled vs Planned kilometers and perform debriefing of drivers upon return from trade

- Planning of routes by grouping orders and allocating trucks to routes

- Follow-up on actual performance vs planned routes

- Monitor and report capacity utilization of fleet

- Driving operational efficiencies in trade

- Ensuring vehicle utilization to full capacity to drive efficiencies

- Provide first line of support and aid the communication between drivers and customers ensure customer service

SAP Super User Role

· Inbound, Outbound, Inventory & Master Data Management

· Facilitating and providing SAP support to the operational process of receiving stocks from production, external vendors as well as dealing with customer returns for all SAP EWM managed warehouses.

· Facilitating and providing SAP support to the operational process of issuing stocks to customers and depots from SAP EWM managed warehouses

· Facilitating and providing SAP support to the inventory processes that includes Physical Inventory counts, Stock recons, Internal movements, Stock rotation and Stock ageing analyses for all SAP EWM managed warehouses.

· Material master maintenance all SAP ERP DIET, FERT, FTREE, ZAQU & ZDHN products

· Maintain all relevant SAP EWM material master data.

Warehousing (Inventory management) Training

· Plan and manage all stock movements both inbound and outbound.

· Manage business risk with regards to stock variance/shortage, breakages, and product expiry to avoid financial loss.

· Review several operational reports daily end ensure that appropriate action is taken where discrepancies appear.

Fleet Management Training
